Data mailbox applications and notifications

At Czech POINT, you can easily and securely handle matters related to data mailboxes. For example, you can set up a data mailbox or obtain new access credentials. Electronic communication via data mailboxes saves you time, simplifies administration, and ensures legal certainty. 

Overview of agendas

At post offices offering Czech POINT services, you can submit the following applications and notifications relating to the data mailbox information system: 

Application to create a data mailbox 

You can submit an application for the creation of a data mailbox at Czech POINT service counters. If the data box information system accepts your application, your data box will be set up within three days. You will then receive your access details by registered mail addressed to you personally. If the data box information system does not accept your application, it will be forwarded to the Czech Ministry of the Interior for a decision. 

Request for invalidation of access data to the data mailbox and issuance of new ones

If your data mailbox access details are lost or stolen, you can request that they be invalidated and new ones issued. At a post office with Czech POINT, your existing access details will be invalidated immediately and we will automatically send you an email with a link to the activation portal, where new access details will be generated. 

Adding an authorized person to access the data mailbox

You can add an authorized person to the data mailbox, who will have the right to access and perform activities in the data mailbox according to the permissions you set in the data mailbox settings. The authorized person will be sent the access data to the data mailbox by registered mail. 

In the case of legal entities or public authorities, the applicant shall submit a document confirming their authorization to perform the requested action (e.g., an extract from the commercial register, power of attorney, etc.).

Notification of invalidation of access data of an authorized person (cancellation of a person)

The authorized person's access data can be invalidated, i.e., their access rights to the data mailbox can be revoked.
The authorized person is then informed of the invalidation of their access data.  

Request to make a data mailbox inaccessible, which was set up upon request

The user of a data mailbox that was set up upon request may request that the data mailbox be temporarily disabled. This action does not result in the cancellation of the data mailbox, which can be reactivated upon request.
The data mailbox will be disabled no later than the third business day after the request is submitted. 

Request for re-access to a data mailbox that was set up upon request

A user of a data mailbox set up upon request who has had their data mailbox temporarily disabled may request that the data mailbox be reactivated. If the data mailbox has been disabled twice in the last year upon request, it can be reactivated no sooner than one year after its last deactivation. 
The data mailbox will be made accessible within three working days of the request being submitted. 

Notification of invalidation of access data to statutory bodies or heads of public administration bodies

This service can be used to invalidate the access data of a specified statutory body – a legal entity or the head of a public administration body – to a specific data mailbox. 

The form addresses two agendas:

  • Revocation of an authorized person (cancellation)
    Revocation of an authorized person (cancellation) and simultaneous creation of a new authorized person

Notification of authorization for PO/PFO/FO to deliver documents from the PO/PFO/FO data mailbox

This agenda authorizes legal entities (LE), natural persons conducting business (NPB), or natural persons (NP) to receive documents from the data mailboxes of LE/NPB/NP. 

Notification of cancellation of PO/PFO/FO delivery of documents from the PO/PFO/FO data mailbox

Cancellation of acceptance of documents from legal entities (LE), natural persons engaged in business (NPB) or natural persons (NP). 

What you need 

The customer must present proof of identity. 

Request or notification: 

  • The counter clerk fills it out electronically  
  • then prints it out 
  • and presents it to the customer for signature.
