Authorized conversion of documents

Do you need to convert a document from paper to electronic form or vice versa? Authorized conversion ensures that the new document will have the same legal validity as the original.  

Service description

Authorized conversion is the official conversion of a document from paper to electronic form or vice versa. The result of the conversion has the same legal effect as the original document. The service ensures that the converted document is complete, authentic, and usable for official purposes. 

What the service is used for

Conversion enables the secure and legally recognized transfer of documents between paper and electronic form. It is useful, for example, when communicating with authorities, banks, or for archiving purposes. Conversion is useful when you need to: 

  • convert a paper document into electronic form (e.g., for a data box)
  • convert an electronic document into official paper form
  • be sure that the converted document is legally valid and recognized by authorities and institutions 

How to convert documents

Conversion from electronic to paper form 

You can: 

  • send the electronic document directly from your data box in a ZFO format data message (with a PDF attachment)   
  • upload a file in PDF or ZFO format to the Czech POINT electronic repository https://www.czechpoint.cz/uschovna  
  •  In this case, bring confirmation of the document's insertion into the Repository for conversion purposes. 
  • The document will be printed for you in a certified form. 
  • You can check in advance, free of charge, whether the document is convertible using the online service "Document verification before conversion."  

When can the conversion be performed?  

If your document is suitable for conversion, you will see the following information: 

  • about the valid electronic signature(s) 
  • or time stamp affixed to the document, as well as an offer to send the document to the Repository 

If your document does not meet the conditions for conversion, you will receive information about why the document cannot be converted. 

Conversion from paper to electronic form 

  • Documents up to 150 pages can be converted. 
  • You will receive the electronic output by uploading it to the Czech POINT electronic repository here: https://www.czechpoint.cz/uschovna/.  
  • The customer will receive confirmation of the document's upload to the Repository either in printed form or sent to their data mailbox.      

When conversion cannot be performed

If the document to be converted:

  • is in a form other than paper or electronic (data message or PDF format) 
  • is unique and cannot be replaced (ID card, passport, driver's license, etc.) 
  • is not clearly legible or shows changes that compromise its authenticity 
  • in paper form, it is not clear whether it is an original, a certified document, a transcript, or a copy made from a file, or a duplicate of a written copy of a decision or ruling issued under another legal regulation 
  • it contains plastic elements or it is not clear whether it is an original or a copy 
  • in electronic form, it is not in a supported format (e.g., PDF lower than version 1.3) 
  • it has not been signed with a recognized electronic signature or marked with a recognized electronic mark of the person who issued or created the document in the data message 
  • it is not in an electronic or paper form suitable for conversion (e.g., audio/video files) 
  • it contains malicious code in electronic form, where there is a risk of damage to the information system of the entity or to the information processed by the entity performing the conversion 
  • it could damage the scanning device in paper form or is in a condition that could cause damage to it during conversion 

Who can use the service  

Everyone – natural persons, entrepreneurs, and legal entities. 

What you need to bring with you: 

  • For paper documents, the original is sufficient. 
  • For electronic documents, confirmation of the document's submission to the Repository is sufficient. 
  • Proof of identity, if the conversion involves the identification of a person.

Where to get the service 

The service is available at all post offices with Czech POINT, including the option of evaluating multiple-signed electronic documents (CzechPOINT) or at specialized Czech Post offices (for documents over 150 pages).
